Ideas for the development, raised properly.
A single route for leaseholders and tenants to put forward improvements, raise something that affects everyone, or ask the board to look at an issue.
Repairs and maintenance go to Letters first — not here.
Anything broken, leaking, blocked, unlit or unsafe is a reactive repair and must go straight to Letters Block Management on 01733 898589 or tracey@letters.co.uk. They hold the contractors and the maintenance budget and can act the same day. Posting it here adds days and does not create a job.
Use the forum for improvements, suggestions and notices to everyone — things that change the development rather than fix it.
Good for the forum
Cycle storage, EV charging, planting and grounds, lighting improvements, bin store layout, parking arrangements, security and access, energy efficiency, communal decoration, events and neighbour notices.
Send to Letters instead
Leaks, lift faults, door entry and gates, lighting outages, pests, damage, cleaning and grounds failures, service charge queries, statements and arrears.
Renting your apartment? Anything inside it — heating, hot water, appliances, internal repairs — goes to your landlord, who is the leaseholder, or to the agent managing the apartment for them. Letters and the board look after the communal parts.
What happens next
Submissions reach every director at directors@wqmc.org. Anything with a cost is considered against the service charge budget, and items of substance are put on the agenda for the next board meeting or the AGM.
How it works
What happens to a proposal.
Nothing disappears into a mailbox. Every submission follows the same four steps.
- Acknowledged
A director confirms receipt, usually within a week, and tells you which route it is taking — board decision, AGM item, or straight to Letters if it turns out to be a repair.
- Costed
Anything requiring spend is priced. Where it is not covered by the existing budget, the board looks at the reserve fund and at whether it is Section 20 consultation territory.
- Put to residents
Proposals that change how the development looks, costs or works are put to leaseholders before they proceed — by notice, or at the AGM if the sum is material.
- Decided and published
The outcome goes on the notice board with the reasoning, including where the answer is no. Approved works then join the maintenance programme.

What neighbours have raised.
Every question put to the board is published here with the answer and the director who gave it, so nobody has to ask the same thing twice. Names are never published — just the block.
Repairs are not published here — those go to Letters and are tracked in the repair history rather than on a public page.

Between ourselves first
Noise, parking and bin-store habits are usually settled faster by a knock on the door than by a formal complaint. Where that has been tried and has not worked, write to the board and it will be dealt with under the lease — in confidence, and without naming anyone publicly.

Please pass your tenants the details for Letters and this notice board, and keep your contact address with the managing agent current. Tenants are welcome to use the forum; formal votes and service charge matters stay with the leaseholder.

Two routes, and picking the right one is the difference between a week and a day.
Something is broken
Anything reactive — a failed lift, a leak, a door not closing, lighting out, anything you would call an emergency — goes to Letters Block Management first. They hold the contractors, the out-of-hours line and the repair history, so reporting it to them is what actually gets someone out.

Improvements, suggestions, questions about how the blocks are run, items for the next AGM, or something you think every neighbour should know. It reaches all five directors at once, so it cannot sit unread in one inbox.
